Connecting Simon with Teamtailor

This guide walks you through how to set up the integration between Simon and Teamtailor from the Simon side.

Before you begin, ensure any required configuration in Teamtailor has already been completed. If you’re unsure, refer to Teamtailor’s help resources.


Step 1: Check Permissions

Before getting started, confirm you have access to the API Console in Simon.

You will need the appropriate permissions enabled to proceed. If you do not have access, contact your system administrator or raise a help request with the Simon team.


Step 2: Enable and Configure Teamtailor

  1. Navigate to API Console
  2. Select Configure Teamtailor

If you do not see this option, you will need to raise a help request for the Simon team to enable the integration on your platform.

  1. From the Client dropdown, select your Teamtailor client
    • The Simon team will set this up for you once the integration is enabled
  2. Click Save

Step 3: Authorise the Connection

  1. Click Actions > Authorise
  2. Enter the following details from Teamtailor:
    • Base API URL
    • API Key
  3. Click Authorise

If successful, your name will appear in the Authorised By column on the main screen.


Step 4: Map Teamtailor Fields

  1. Click Actions > Map

By default, Simon will bring across:

  • Standard candidate fields
  • Standard job fields
  • Any custom fields created in Teamtailor (candidate and job)
  1. Select or deselect the fields you want to import into Simon

If you create new fields in Teamtailor later:

  • Return to this screen
  • Click Sync Teamtailor Fields to refresh the list

Step 5: Configure Webhooks

  1. Navigate to Webhooks > View All
  2. Wait a few minutes for Simon to pull through its first record from Teamtailor
  3. Once available, select Teamtailor as the source

Map Fields

Map Teamtailor fields to the corresponding fields in Simon. For example:

  • First Name → First Name
  • Last Name → Last Name
  1. Once mapping is complete, click Submit

Step 6: Apply Configuration Settings

  1. Navigate to Config
  2. Apply the required configuration settings for the integration

Configuration requirements may vary between customers. If you are unsure, contact the Simon team for guidance.


Step 7: Review Incoming Data

  1. Navigate to Data

Here you will see candidates that have been brought across from Teamtailor.

Key Behaviour

  • Only candidates marked as Hired in Teamtailor will be imported
  • Candidates already existing in Simon will not be duplicated

Statuses

  • Pending
    Simon is processing the candidate and creating their profile
    Note: You may find that a record didn’t come over from Teamtailor and isn’t showing in the Data screen. If this happens, it’s most likely because the email address of the candidate has previously come over to Simon before. If that happens, you will need to Log a Help Request in Simon for our help team to resolve this for you.
  • Success
    The employee profile has been successfully created
  • Failed
    An issue has occurred. Simon will display details so you can resolve and retry
    Note: if a record fails to create in Simon, you will need to delete the record in Data and wait for the record to come over to Simon again from Teamtailor. It’s best to correct the record in Teamtailor first. Generally a record will Fail to create in Simon because you’re missing a mandatory field in Teamtailor that Simon needs, like a mobile number for the candidate or an email address.

Step 8: Complete Employee Setup

Once a candidate reaches Success status:

  1. Navigate to Manage Employees
  2. Locate the employee profile
  3. Complete any additional required fields
  4. Deliver the employee’s first experience (for example, onboarding)

You’re Ready to Go

Your Teamtailor integration is now set up.

New hires marked in Teamtailor will flow into Simon automatically, ready for onboarding and other employee experiences.
